Special Club Features

Not your traditional blue blazer club, EYC is built on activity, on the water and ashore. Our members are involved in a diverse range of boating activities, supported by social events and strong camaraderie. Known for our million-dollar view of the Severn River and Annapolis, EYC also is recognized in the Chesapeake Bay region and beyond as a club capable of managing major championship regattas, Friday night Beer Can races, and everything in between, as well as providing great social networking for cruising, parties, and charity events. It’s all about life on the water, and all about fun.

Club is open 7 days per week, 12 months per year.

Brief Job Description

  • Provide accounting/bookkeeping support and reporting for the General Manager, Board of Governors, Treasurer, EYC Management and Finance Committee using QuickBooks Accountant stand-alone version.
  • Uses QuickBooks, Microsoft Office Suite (Excel, Word, PowerPoint, etc.) to communicate information and analyze data.
  • Input and monitor financial data during the accounting period as necessary to ensure consistent and accurate results based on established GAAP standards and EYC policy and procedures. 
  • Create and maintain the financial policy and procedures manual and ensure that it reflects the current operating procedures.
  • Maintains financial security by following internal controls.
  • Manage journal entries and maintain an accurate and comprehensive accounting to be presented monthly. 
  • Recommend new or revised procedures for accounting and general financial operating policies. 
  • Create, maintain and correct the Eastport Yacht Club accounting policies and procedures manual while ensuring that the document reflects the ongoing operations and supports GAAP.
  • Run trial and final balances as appropriate and generate reports for the General Manager, Treasurer and Finance Committee.
  • Prepares asset, liability, and capital account entries by compiling and analyzing account information.
  • Summarizes current financial status by collecting information; preparing balance sheet, profit and loss statement, and other reports.
  • Conduct special audits as needed by the General Manager, Treasurer, the Finance Committee or Commodore
  • Assist the outside auditing firm with the annual audit by providing necessary reporting, documentation and support as well as implementing changes and recommendations.  Monitor the annual auditor recommendations and confirm that suggestions have been implemented in the following term.
  • Generate monthly closing report as outlined by General Manager, Treasurer or Board of Governors for Finance Committee review.  Typical monthly reports are as follows:
    • Monthly P&L
    • Monthly P&L against budget
    • YTD P&L
    • YTD P&L against budget
    • Monthly and YTD against prior year
    • Balance Sheet
    • Flash reports (P&L summary)
    • Journal entry report
    • Committee income and expense reports (monthly and ytd)
    • Food and beverage cost of goods report
    • General sales tracking as outlined by the General Manager
    • Payroll reports
  • Prepare annual budgets for operating, cash flow and committees.
  • Organize and compile budget notes and adjustments for review by the General Manager, Board of Governors, Treasurer and Finance Committee.
  • Maintain and oversee membership information and provide reports as necessary.  Delegate appropriate work to Member Services Manager.
  • Review monthly events and food and beverage accounts for appropriate transfers and invoicing.  Work with Assistant General Manager, Executive Chef, Member Services Manager and General Manager to acquire necessary information for transfers
  • Maintain marina information in accounting software from General Managers detail.  Provide reports as necessary. 
  • Compiles and maintains accounts receivable records by performing the following duties:
    • Prepares analysis of accounts
    • Reconcile daily sales balance sheets from service staff.
    • Supervise processes and administration of petty cash and cash bank replenishment.
    • Prepares and/or delegates daily cash deposits and fills out cash balance sheets daily.
    • Posts and/or delegates posting of payments to member accounts.
    • Supervise mailing of member statements quarterly.  Coordinate with Member Services Manager and volunteers to coordinate physical mailing.
    • Ensures that members are billed timely and accurately for monthly dues and annual charges in accordance with By-Laws.
    • Identifies delinquent accounts and assists with collection efforts.  Processes and oversees the notification process for delinquent members.
    • Supervises Member Services Manager or responds professionally and timely to member billing inquiries.
    • Assists in related special projects.
  • Responsible for posting vendor invoices, making payments, and reconciling statements etc.  
  • Review and enter Micros POS data from daily staff food and beverage balance sheets and enter necessary data into QuickBooks accounting software
  • Review and recommend necessary deposits and transfers between accounts.
  • Attend monthly Finance Committee meetings on an as needed basis as determined by General Manager, Board or Finance Committee chairperson.
  • Responsible for all state tax filing, assessment filing payroll filing, etc
  • Responsible for payroll processing
  • Support member services manager with misc. office activities on an as needed basis (phone support, general membership support etc.)
  • Complies with federal, state, and local financial legal requirements by studying existing and new legislation, enforcing adherence to requirements, and advising management on needed actions.
  • Maintains customer/member confidentiality and protects operations by keeping financial information confidential.

Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.           

Candidate Qualifications

A  minimum of 5 years experience in full range accounting and/or financial management

Club experience preferred

Educational Requirements

Degree in accounting and financial management

CPA designation preferred
