Assistant Clubhouse Manager

Brief Job Description

Merion Golf Club is seeking an outgoing and professional Assistant Clubhouse Manager to be responsible for management of the Club’s Food & Beverage Operations as well as Halfway House and Housekeeping staff to ensure member and guest satisfaction. This includes an active on-floor presence in both restaurant and banquet operations, beverage and intern programs.

The Assistant Clubhouse Manager reports to the Clubhouse Manager and supervises the Head Bartender and Bar Staff, Food Service Staff (servers, bus attendants, runners, expeditors), Halfway House Attendants, Housekeepers and Interns.

Essential functions include:

  1. Active management of Food & Beverage service outlets and staff including Restaurant and Banquet venues.  This includes on-floor assignments, pre-meal/event meetings, staff organization, side work, and planning for daily operations in all food and beverage venues.
  2. Beverage Program:
    • Develops and maintains a bar product inventory system for alcoholic beverages including all alcohol, wines, non-alcoholic beverages and mixers. This includes monthly inventory of all items.
    • Develops and maintains a supply program for all glassware, bar paper products, and other bar supplies.
    • Plans promotional strategies and materials; develops recipes to improve the beverage program for members and guests.
    • Develops standard operating procedures to help assure that bars are set-up and operated efficiently for restaurant and banquet operations.
    • Maintains an adequate supply of liquors, wines, beer and other beverages with effective inventory management system and par sheets.
    • Assures that the club’s policies and procedures for selling alcoholic beverages are consistently followed in all beverage outlets and at all club functions.
    • Assures that all laws applicable to beverage operations are consistently followed.
    • Develops and maintains, requisition sheets, transfer sheets and event consumptions for all beverage products for all bars, events, and beverage storage areas.
  3. Development and maintenance of Internship Program
  4. Management of Halfway House including staffing, ordering and inventory management.
  5. Responsible for maintaining par levels, requisition sheets, and transfer sheets for all snack supplies related to Halfway House and Clubhouse Operations.
  6. Responsible for hiring, training, supervision, scheduling, performance management and motivation of Housekeeping staff.
  7. Responsible for Halfway House, Bar and Food Service, and Intern performance management.
  8. Works with two other Assistant Clubhouse to ensure efficient Food & Beverage service in all of the club’s outlets and for special functions.
  9. Assists in the preparation of the annual budget for food and beverage operations in relation to revenue and expenses.  Monitors performance against budgets; recommends corrective actions as necessary to help assure that budget goals are met.
  10. Assists in promoting, advertising and marketing the club’s social events to all members.
  11. In conjunction with other Assistant Clubhouse Managers, responsible for selection of front of house staff. including all management of all necessary paperwork.
  12. Respects and upholds members policies, rules and traditions.
  13. Enforces established rules, regulations and policies for all staff.
  14. Serves as opening or closing club manager and/or Manager on Duty (MOD).
  15. Resolves member and guest complaints and comments as deemed appropriate to the situation.
  16. Responsible for daily reporting/tracking of food and beverage dining, club and banquet events in regard to cover counts and operational issues.  Responsible for monthly compilation and distribution of information in accordance with established procedures.

Candidate Qualifications

  • 2+ years of experience in Dining Room Management within fine dining or upscale private dining or country club establishment is required.
  • Actively pursuing CCM certification strongly preferred.
  • Completion of Server/Selling Training for RAMP (Responsible Alcohol Management Program) certification through the State of Pennsylvania (or ability to complete within a month of hire).
  • Extensive food and beverage knowledge.
  • Sophisticated and professional in demeanor, language, and character.
  • Outgoing and energetic personality, candidates must have the ability to strike up a conversation and be willing and able to approach others with friendly confidence.
  • Organization and the ability to prioritize are essential.
  • Service-driven to provide exceptional customer service.
  • Ability to build and inspire a service team.
  • Attention to detail is essential.
  • Candidates must be available nights, weekends, and holidays.

Educational Requirements

High school diploma or GED required, a four-year college degree in Hospitality is preferred.
