Catering and Special Events Manager

Brief Job Description

  1. Works with Food & Beverage Director and Executive Chef to schedule/coordinate culinary and personnel requirements for all functions.
  2. Prepares and distributes detailed BEO’s for each event to proper departments.
  3. Diagrams buffet tables, guest tables and other function room set-up needs for Special Events
  4. Holds pre-function meeting with servers to ensure smooth, efficient service; assigns server stations and coordinates the timing of courses.
  5. Ensures that all banquet staff are well groomed and in proper uniform (including nametags).
  6. Assures proper inventory of all banquet service equipment and supplies to meet required needs.
  7. Assists the Food & Beverage Director in the process of hiring, training, and supervising and evaluating banquet service staff.
  8. Assures that all functions are properly staffed in accordance with the approved banquet staffing schedule.
  9. Assures the neatness, cleanliness, and safety of all banquet areas.
  10. Arranges with the event’s sponsors particulars such as menus, music, flowers, and decorations.
  11. Rents necessary decorative features and audio, video or game equipment.
  12. Participates in scheduled staff and management meetings.
  13. Assumes Manager on Duty (MOD) responsibilities when assigned.
  14. Completes files with after-event evaluations and cost sheets to improve quality and efficiency of banquet functions.
  15. Ensures that all appropriate charges are billed correctly to each event and forwarded to the accounting department for billing.
  16. Meet with clients to discuss and plan special events
  17. Ensures that all Special Events are creative and interesting.
  18. Performs other tasks as requested by the Food & Beverage Director.

Licenses and Special Requirements:

  1. Food safety certification.
  2. Alcoholic beverage certification.
  3. CPR & AED certification

Working Conditions and Physical Requirements:

  1. Required to stand for long periods and walk, climb stairs, balance, stoop, kneel, crouch, bend, stretch and twist or reach.
  2. Continuous repetitive motions, standing, walking and lifting.
  3. Push, pull or lift up to 50 pounds.
  4. Ability to move dining room furniture to meet floor plan design changes for dining needs.
  5. Physical resolve to work in hot, humid and noisy environment.
  6. Ability to work outside in the typical climate conditions and temperatures of Florida.
  7. Work schedule includes week days, evenings, weekends, holidays as needed to meet dining operational needs.  Work shifts will vary subject to lunch, dinner, and special events.  Early breakfast event shift start time, 6:30 a.m., may be required occasionally, typically 4-6 times a year.

Candidate Qualifications

The Banquet/Catering Manager should have 3 to 5 years food & beverage management experience, to include fine dining plus casual, banquet, and home catering.  This motivated, personable professional must include a “hands-on” leadership style in banquet/catering planning and dining room supervision. Managing the event from the initial planning stages to completion will be required.  Excellent organizational, communication, interpersonal, and computer skills are essential.  Familiarity with Jonas Systems and CertiPay is helpful.  Must be able to work flexible schedule during the day and/or evenings including holidays and weekends.

Educational Requirements

  • High School education or G.E.D Equivalent
  • A four year college degree in Hospitality is preferred
  • Three years of dining room supervisory experience in private club.
