Chapter Idea Fair

Pass It Forward: The CMAA World Conference Host Chapter Playbook

Golden State Chapter

Entry Details

Every CMAA World Conference Host Chapter learns hundreds of lessons. Then the Conference ends—and much of that institutional knowledge can leave with the volunteers and leaders who learned it.
TGSC wanted to change that.

After hosting the 2026 CMAA World Conference in Southern California, the Golden State Chapter created a comprehensive Host Chapter Playbook designed to pass what we learned to the Chapters that come next.

The idea was simple: a future Host Chapter should not have to start from scratch.

The Playbook captures the Host Chapter journey—from early planning and committee structure through communications, volunteers, member engagement, hospitality, events, sponsorships, student involvement, Conference-week execution, and post-Conference follow-up.

Rather than creating a retrospective about what TGSC accomplished, we developed a working communications resource focused on what another Chapter needs to know and use.

The project also strengthened TGSC by creating a permanent record of our work, documenting successful practices and identifying lessons that can improve future Chapter initiatives.

Experience → Document → Systemize → Transfer

The Conference may belong to one Host Chapter for a year. The knowledge gained from hosting it can belong to every Chapter that follows.

Implementation

TGSC began documenting the Host Chapter experience throughout the planning cycle rather than trying to reconstruct it after World Conference.

The Managing Director, Host Chapter leadership, committees, and volunteers captured timelines, responsibilities, communications, volunteer needs, hospitality and event considerations, examples, and lessons learned along the way.

After the Conference, we organized those resources into a professionally designed digital Playbook structured around the actual progression of hosting the CMAA World Conference.

Future Host Chapters can customize the tools for their own market, membership, and Conference.

The model is easily transferable:

1. EXPERIENCE – Execute the program
2. DOCUMENT – Capture processes, resources, and lessons
3. SYSTEMIZE – Organize them into usable tools
4. TRANSFER – Share them with the leaders who follow

Chapter leaders embraced the opportunity to turn TGSC's experience into something that could benefit the broader CMAA community.
Instead of simply asking, “How did we do?”, we asked a more lasting question:

“What can we leave behind that makes the next Host Chapter better prepared?”

That is the idea behind the Playbook: learn it, document it, and pass it forward.
