Idea Fair
Employee Assistance Fund
How has this idea enhanced your club's operation, etc.?
In moments of crisis, a club’s culture is revealed. The Employee Assistance Fund (EAF) is a member-supported, need-based emergency relief program created to provide timely, confidential financial assistance to Club employees facing unforeseen hardship. While Sunningdale has long demonstrated generosity toward staff through informal giving and targeted fundraising, the EAF was established in 2021 to thoughtfully formalize this care into a sustainable, equitable, and year-round initiative.
At its core, the EAF reflects a shared belief that employees are not just part of Club operations, but integral members of the Sunningdale community. By creating a clear and dignified application process, the Fund ensures that employees across all departments can seek support during moments of vulnerability with fairness, discretion, and respect. Since its inception, the EAF has raised over $134,000 and provided nearly $80,000 in direct assistance.
While the EAF offers clear operational benefits by supporting employee stability and continuity, its greatest impact is cultural. The Fund reinforces a community of trust, belonging, and mutual care - allowing employees to feel seen and supported beyond their professional roles. In turn, members are given a meaningful way to live the Club’s values, strengthening the sense of connection and stewardship within the community.
How was this idea implemented, and what have been the club members' reactions?
The EAF operates under a board-approved governance structure and is stewarded year-round by a dedicated member committee responsible for fundraising, reviewing staff applications, and thoughtfully approving or denying assistance based on demonstrated need. This process balances compassion with accountability while maintaining discretion and respect for employee privacy.
To ensure the Fund’s sustainability, members are billed $100 annually to support the EAF. However, members are invited - via email communications and a simple online form - to contribute amounts of their choosing at any time throughout the year. This flexible, ongoing approach allows members to engage with the Fund in a way that feels both accessible and meaningful, beyond a single annual appeal.
Staff members may submit applications when unexpected hardship arises, which are then thoughtfully reviewed by the EAF committee. Since 2021, the Fund has provided nearly $80,000 in assistance for a wide range of challenges, including medical and legal expenses, funeral and emergency travel costs, car accidents, housing instability, family crises, and more.
Members have fully embraced the EAF as a tangible way to care for the people who contribute to the Club experience every day, knowing their support reaches employees during moments of genuine need. The structure of the Fund - ongoing, transparent, and thoughtfully administered - has strengthened members’ sense of connection, responsibility, and trust. Rather than a one-time gesture, participation reflects a shared understanding that sustaining a strong Club community includes standing behind its employees in times of hardship. The EAF has become a living expression of Sunningdale’s values, reinforcing a culture where care is intentional, collective, and enduring.
