Brief Job Description
Title: Administrative Coordinator – Membership/Special Events
Reports to: Executive Secretary
Coordinates with: All Department Heads
Classification: Exempt Employee
Overall Function and Purpose
To provide support to the Club’s Executive Secretary in managing membership records and coordinating with all departments to ensure a seamless process in managing and communicating Club sponsored events, lectures and programs. Work closely with the Communications Committee in creating and editing weekly e-mail blasts to the membership. Perform various administrative duties, including tracking event reservations and responding to member e-mails and voicemails, and maintaining membership candidate files.
Principle Duties and Responsibilities
Develop thorough knowledge of all Club events, programs, lectures and outings and miscellaneous services offered
Execute, at the direction of the Executive Secretary, the various procedures necessary to track a membership candidate, including the proper maintenance of files, correspondence and emails
Coordinate with all department heads to ensure timely distribution of information related to Club lectures, programs and outings
Prepare daily, weekly and monthly event calendars in preparation for weekly email blast and printed calendar in coordination with the Communications Committee
Assist the General Manager and the management team in marketing and promoting Club events internally to the membership
Perform various other duties assigned by the Executive Secretary which may include assisting the General Manager, Special Events Coordinator, Accounting and Housekeeping departments
Candidate Qualifications
Specific Job Knowledge
5-7 Years progressive experience in a high-end, high-volume New York City luxury Club, Boutique Hotel or Professional Office environment
Microsoft Office (Word, PowerPoint, Excel), FileMaker, InDesign, POS
Educational Requirements
4 Year College Degree
