PFC, established in 1882, is one of the premier clubs in the Pittsburgh Region with a long standing tradition of financial stability and long tenured staff. We are seeking a Club Controller to continue with PFC’S track record of nearly 10 consecutive years of achieving financial goals, while ensuring the quality expectations of our 650-member families. This is an ideal job opportunity for a current, established club controller or an assistant who is prepared for the next step in their career.        

Purpose and Objectives: The Controller keeps accurate records of Club financial transactions, monitors delinquent accounts, prepares monthly statements and financial reports, and answers customer questions regarding billing issues. The Controller uses the Club point of sale system to manage and monitor the General Ledger, Accounts Receivable, and Accounts Payable. The Controller also informs club management, monthly or as needed, on the status of the Club’s financial position. Meets Club Standards for timeliness and accuracy. The controller also interacts on a daily basis with peer department heads on cost controls, monitoring revenue to forecast objective in a team fashion that is both challenging and professional. Candidate should possess the skills to be a professionally challenging, and sought out member of club staff amongst their peers in that regard, in daily interactions.

Candidate Qualifications

Essential Job Functions:

·       Guides financial decisions by establishing, monitoring, and enforcing policies and procedures.

·       Manage all accounting operations including Cash Management, Billing, A/R, A/P, GL, Cost Accounting, Inventory Accounting and Revenue Recognition.

·       Establish and management of the December through March preparation of fiscal (fiscal year 4/1 through 3/31 each year) budget process and extremely interactive with department heads, financial forecasts and report variances.

·       Prepare and publish timely monthly financial statements. Meet with and personally report on budgets and results with General Manager and Finance Committee on YTD results, future budgets, and futuristic trends  

·       Oversee preparation of all member statements, forecasts and analyses.

·       Evaluation of operating results with regard to costs, revenues, and budgets.

·       Processes month-end and year-end close process.

·       Ensure quality control over financial transactions and financial reporting.

·       Protects assets by establishing, monitoring, and enforcing internal controls.

·       Monitors and confirms financial condition by conducting audits; providing information to external auditors.

·       Provides status of financial condition by collecting, interpreting, and reporting financial data.

·       Monthly monitoring of Capex appending according to Board and General Manager approved directives. 

·       Prepares special reports by collecting analyzing and summarizing information and trends.

·       Complies with federal, state, and local legal requirements by studying existing and new legislation; anticipating future legislation; enforcing adherence to requirements; filing financial reports; advising management on needed actions.

·       Protects operations by keeping financial information and plans confidential.

·       Contributes to team effort by providing financial information to departments and accomplishing related results as needed.

·       Receives and renews all incoming invoices and prepares and mails payment checks, verifying coding of invoices accurately to the General Ledger, and keeping payables up to date.

·       Prepares all bank deposits and inter-account bank transfers, as directed by management.

·       Ensuring compliance with all policies to control and coordinate all accounting functions. Suggests additional policies for implementation if needed.

·       Coordination of all tax, regulatory and governmental filings.

·       Monitors expenditures and advises management about variances and their potential causes; recommends corrective actions to help assure that goals are met.

·       Manages and conducts internal auditing programs to help assure that records are accurately maintained and that established policies and practices are satisfactorily and consistently followed.

·       Safeguards all funds, Manages cash flow.

·       Prepares documents required to prepare all applicable tax returns. Preparation of sales tax & property tax.

·       Monitoring Input of Payroll staff, for employees in the payroll system and oversee payroll preparation on a weekly basis.

·       Maintains and monitors Club’s Leases.

·       Monitor day to day operations inclusive of cash controls, bank reconciliation, accounts receivable and payables.

·       Formulates, receives and recommends policy proposals relating to accounting and auditing, the budget, revenue and cost control procedures, payroll, and tax issues.

·       Monitor actual to budget operational results on a weekly/monthly basis.

·       Prepares the monthly trial balance, financial statements with required schedules.

·       Annual negotiation and bidding of Contracts. (Health and Property insurance, Cell phone tower leases, Capex purchases related leases, Energy, Workmen’s comp, and all other applicable agreements)    

Other Functions:

·       Oversee the Collection and complete payroll information from all sub-departments of the golf and club operation and follow procedures meeting all timelines.

·       Work directly with Human Resources to ensure compliance with hiring and termination of employees.

·       Oversee and answer to member or oversee requests on all accounting related questions.

Educational Requirements

Essential Job Requirements and Skills:

·       Bachelor’s Degree in Accounting. Computer processing skills, general accounting and bookkeeping training, record keeping practices and training, or related job experience of greater than two years in a similar position, or as a number 2 assistant controller for 3 years in a similar facility.

·       Experience with general ledger functions and the month-end/year end close process.

·       Knowledge and experience with Jonas, VMS or other comparable hospitality systems.

·       Proficient in computer skills, including Excel, Word and Microsoft Office.

·       The ability to work “hands on” with the three to four member accounting staff, and to mentor, train and lead.

·       Excellent accounting software user and administrative skills.

·       Ability to problem solve and respond to any member or guest, or peer challenges in a friendly, professional manner. Previous experience and interactions with a high performing Food and Beverage staff, Golf and Grounds staff would prove extremely beneficial in this assignment. 

·       Integrity beyond reproach.

·       Ability to perform mathematical calculations accurately, including percentages, fractions, decimals, and simple mathematical formulae.
